COAHSI QUESTIONS AND ANSWERS ABOUT THE AIE GRANTS
  1. HOW DO I APPLY FOR AN AIE GRANT?
  2. Because funds are limited, no matter which AIE grant you wish to apply for, it is necessary to first declare your interest by filing a Letter of Intent to Apply with COAHSI. Letters of Intent to Apply are available on the COAHS1 AIE website or by calling 718.447.3329. Grant application packages will be mailed to a specific program contact only and after COAHSI's receipt of your Letter of Intent to Apply is received. You may decide not to apply for a grant after submitting a Letter of Intent to Apply but a Letter of Intent to Apply must be filed in order to be eligible to apply for a grant.

  3. WHAT IS THE DEADLINE OF SUBMISSION FOR A LETTER OF INTENT TO APPLY FORM?
  4. All letters must be received by the COAHS1 office by 5:00 pm Monday, October 18, 2004.

  7. WHAT RESOURCES ARE AVAILABLE TO ME AS I PREPARE MY APPLICATION?
  8. Jo Anne Kavanagh, COAHSI's Arts in Education Program Director, (718.447.3329) is available to answer questions about your applications, help applicants find a partner or provide other assistance. Informational workshops will be arranged upon COAHSI's receipt of your Letter to Intent to Apply form and it is strongly suggested that applicants discuss their proposals with the Program Director to clarify any language, questions or expectations you perceive within the grant application. Other tutorial information can be found to assist you with the preparation of your grant on our website and other sites that link to COAHSI.

  9. HOW WILL THE AWARDS OF THE PROPOSED PROGRAMS BE DECIDED?
  10. Consideration of proposals is done on a competitive basis. The COAHSI staff is responsible for the administration of these grants only and cannot make decisions about the selection of grants or the level of their funding.

  11. WHO WILL DECIDE WHICH APPLICATIONS WILL BE FUNDED?
  12. Decisions are made by an independent panel of professional artists, teaching artists, scholars, school and arts administrators, teachers, civic, business and community representatives knowledgeable of arts-in-education. Panelists will base funding decisions on how well each application meets the evaluative criteria specified in the grant guidelines. It is the panel's responsibility to decide who is to be funded and at what amount.

  13. WHEN WILL I BE NOTIFIED WHETHER OR NOT MY REQUEST WILL BE FUNDED?
  14. The panel will deliberate in early January. Applicants will be notified by mail of funding decisions (either for or against) at the conclusion of the panel's deliberations.

  15. IF MY PROJECT IS AWARDED, WHAT'S NEXT?
  16. Pending notification of your award, all funded applicants will be required to sign a contract with COAHSI before the funds will be released. No funds will be distributed to the District Office. COAHSI will make checks payable to the school, cultural organization or individual artist. Arts-in-education recipients are also required to attend the Grantee Ceremony where awards will be distributed.

  17. AS A GRANT RECIPIENT, WHAT ARE MY RESPONSIBILITIES?
  18. Grant recipients must notify COAHSI of any contact name, address or telephone changes. Grant recipients must also credit The Council on the Arts and Humanities for Staten Island and either The New York State Council on the Arts or SI Bank & Trust Foundation on all printed materials related to the funded project. Grantees must also provide COAHSI with a timeline for their program's implementation since funded programs are subject to an independent auditor's review to ensure that the funded project fulfills the spirit and mission of the grant. Grantees are also required to submit a final report no later than 30 days after the completion of the project of by July 15, 2005. Failure to submit a final report will jeopardize future funding requests.

  19. WHEN MUST THE PROJECT BE STARTED AND COMPLETED?
  20. All grantee programs must be implemented and completed during the Spring of 2005. They may start from late January and continue through until the last day of classes in June.

  21. WHAT RECOURSE DO I HAVE IF I BELIEVE MY APPLICATION DID NOT RECEIVE FAIR CONSIDERATION DURING THE PANEL PROCESS?
  22. If the panel determines that your application should not be funded, the applicant can request that Program Director provide insights garnered through panel debates as to why the request was refused. If, after speaking with the Program Director, the applicant still believes in the merits of the program and wishes to appeal the decision, certain criteria must be met before an independent panel will convene again during the next funding cycle and the entire process is reviewed by the COAHSI Board of Directors.

  23. CAN I APPLY FOR MULTIPLE GRANTS?
  24. Not all grants can be funded; therefore, applicants are advised to select the grant which best suits their need and pursue application only in that respective program.
